Documentation at the terminal gate: avoiding last-mile delays

Certificates, weight figures and inspection references must align before a truck or barge moves — misalignment here is a common source of demurrage.

Most delays we see in the final stage of a shipment are not caused by the cargo. They are caused by a figure or a reference that does not match across the documentary set, discovered at the point where the cargo is ready to move and the clock is already running.

Where the mismatches appear

The usual candidates are weight figures that differ between the certificate and the bill, inspection references quoted inconsistently, and parcel descriptions that do not correspond to the customs entry. Each is trivial to correct in advance and expensive to correct at the gate, where a reissued document can take a day that the laytime clock does not forgive.

A short pre-movement check

  • Weight figures identical across certificate, bill and delivery instruction.
  • Inspection certificate number quoted the same way in every document that references it.
  • Cargo description matching the customs entry exactly, including grade wording.
  • Named consignee and notify party confirmed with the receiver before issue.
  • Original documents physically where they need to be, with courier references recorded.

Running this check while the vessel is still discharging costs an hour. Running it at the gate costs a day, and the cost falls on whichever party the contract says it falls on — which is rarely the party that made the error.

Nothing about last-mile documentation is complicated. It is simply unforgiving of assumptions.
